1. Who we are

Vaultli (vaultli.ai) is run by Holistic Brain, LLC, doing business as Vaultli, in Hawaii ("we", "us"). This policy explains what we collect, why, who helps us process it, and your choices. For any question or request, contact support@vaultli.ai.

2. What we collect

• Account details: your name, email and login. If you sign in with Google, we receive your name and email from Google.
• Billing details: your plan, subscription status and payment history. Card details are entered on Stripe's page; we never see or store your full card number.
• What you add to Vaultli: brand settings (names, colors, fonts, handles, voice), photos, documents, videos and audio, website links, caption screenshots, notes, and the drafts, captions and images Vaultli creates for you.
• Connected accounts: files and folders you choose to link from Google Drive, and the Instagram or Facebook accounts you connect for publishing.
• Messages to Vaea and support: what you type to Vaea. If you send a support request, it includes your email, account and plan details and your recent chat with Vaea.
• Usage and technical records: what features you use and how much (for example, AI image posts used), so we can apply your plan's limits; and standard server logs.

3. How we use it

We use your information to:

• run Vaultli for you: generate posts from your brand and content, store your library, and schedule and publish to your connected accounts;
• bill you and apply your plan;
• answer support requests and keep the service secure;
• send you account and onboarding emails.

We don't sell your information, use it for advertising, or use your content to train AI models.

4. Who helps us process it

We share information only with the services that make Vaultli work, and only what each one needs:

• Railway (hosting): runs Vaultli and stores your account and content
• Cloudflare R2 (file storage): stores your images and media
• Stripe (payments): handles checkout, billing and payment emails
• Anthropic (AI): writes captions, powers Vaea and reads brand images and screenshots you upload, using the brand details, content excerpts and briefs needed for each request
• Google Gemini (AI): creates images from post prompts and your brand's reference images
• OpenAI (AI): transcribes audio and video, indexes your content so Vaultli can search it, and occasionally serves as a backup image creator
• Google: sign-in (if you choose it), Google Drive (read-only, only what you link), Google Workspace (receives support requests) and Google Fonts (loads our fonts, which shares your IP address with Google)
• YouTube and Apify: fetch transcripts and audio from YouTube links you add
• Websites you paste: we fetch their pages so you can import their text
• Bundle Social (publishing): stores the posts, media and connected Instagram/Facebook accounts needed to publish and schedule; Meta receives the posts you publish
• MailerLite (email): your email and first name, for onboarding emails; every email has an unsubscribe link
• Resend (email): sends account emails such as password resets and support requests; receives your email address and the message

These providers process data under their own terms and privacy policies, and only to provide their service to us. Our servers and providers are in the United States, so your information is processed there.

5. Google user data

Vaultli's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Google Drive access only to import the files you choose, and we never use Google data for advertising.

6. Cookies

We use one essential cookie to keep you signed in. Vaultli has no advertising or analytics trackers.

7. How long we keep it

• While your account is open: we keep your information so Vaultli keeps working for you.
• When you close it: email support@vaultli.ai and we'll delete your content and account details within 30 days. Backup copies are removed on their normal cycle.
• Billing records: we keep these as long as the law requires.

8. Your choices and rights

• Your requests: you can ask us to access, correct, export or delete your information by emailing support@vaultli.ai.
• Connected accounts: you can disconnect Instagram, Facebook or Google Drive at any time.
• Emails: you can unsubscribe from onboarding emails.
• Where you live: depending on your location, you may have additional rights, and we'll honor them.

9. Security

We use encrypted connections and limit access to your data, but no system is perfectly secure. If a breach affects you, we'll tell you as the law requires.

10. Children

Vaultli is for people 18 and over, and we don't knowingly collect information from anyone younger.

11. Changes

If we make material changes, we'll tell you by email or in the app before they take effect.
